Executive Lead Operations

Executive & Operational Support
Coordinate and support the General Manager in operational planning and execution of strategic and functional priorities.
Track leadership action items, decisions, and directives, and ensure timely follow-up and closure.
Prepare operational briefs, status updates, and structured progress reports for management review.
Assist in setting operational priorities, quarterly targets, execution timelines, and roadmap planning.
Support the preparation and organization of quarterly operational agendas and monitor progress indicators with stakeholders.
Program & Initiative Coordination
Coordinate execution of programs, initiatives, working groups, and special projects.
Liaise with internal teams and external partners to ensure alignment and timely delivery.
Maintain project trackers, dashboards, and implementation schedules.
Support full-cycle planning and delivery of conferences, forums, roundtables, and stakeholder events, including agendas, speaker coordination, logistics, and follow-up reporting.
Prepare structured minutes and post-event summaries for internal and leadership use.
Process & Organizational Effectiveness
Support the development and continuous improvement of operational processes and internal procedures.
Ensure proper documentation, record keeping, and filing of operational decisions and activities.
Coordinate administrative and vendor-related operational matters.
Contribute to workflow optimization and service quality improvements.
Board & Governance Support
Liaise with board members and senior stakeholders to facilitate progress on strategic and operational matters.
Coordinate board and committee meeting logistics and documentation.
Attend board and governance meetings when required and prepare accurate minutes within defined timelines.
Track board decisions and ensure structured follow-up on governance action items.
Stakeholder & Member Support Operations
Support operational aspects of member and stakeholder engagement activities.
Coordinate logistics and execution requirements for partnership initiatives.
Ensure consistent operational service standards and responsiveness.
Reporting & Controls
Maintain operational dashboards, tracking tools, and reporting structures.
Compile operational statistics, KPIs, and performance indicators to support decision-making.
Prepare analytical summaries and Excel-based reports when required.
Support budget tracking and resource coordination activities.
Assist in adherence to internal policies, governance practices, confidentiality, and data integrity standards.
Education
Bachelor s degree in Business Administration, Management, Economics, Public Administration, or a related field.
Relevant postgraduate studies or professional certifications are an advantage.
Certifications in Project or Operations Management (e.g., PMP, PRINCE2, Lean) are a plus.
Professional Experience
5 7 years of relevant experience in operations coordination, program execution, project support, or organizational support roles.
Demonstrated experience supporting a General Manager, Director, or senior leadership office.
Experience within associations, non-profit organizations, consulting environments, or structured corporate settings is preferred.
Exposure to multi-stakeholder initiatives and event or program coordination is an asset.
Proven ability to coordinate cross-functional activities and ensure execution follow-through.
Candidates with fewer years of experience may be considered if they demonstrate high learning agility, analytical strength, curiosity, and fast growth potential.
Technical & Functional Skills
Strong operational coordination and follow-up capability.
Working knowledge of project and program tracking methods.
Strong process discipline and documentation skills.
Ability to prepare structured reports and status summaries.
Strong command of MS Office, especially Excel (tracking, reporting, data structuring).
Familiarity with modern productivity and AI-enabled tools is an advantage but not mandatory.
Basic governance and compliance awareness.
Fluent in Arabic, English, and French.
