Summary

We are

looking for a Admin

& Project Operations Specialist who thrives on structure, follow-through, and making

complex projects run smoothly. In this role, you’ll sit at the heart of our

operations; coordinating projects, supporting teams and ensuring that nothing

falls through the cracks.

You’ll

work across dynamic learning and consulting projects, collaborate with diverse

stakeholders, and play a key role in turning plans into action through strong

coordination, reporting, and operational excellence.

Key Responsibilities

Administrative

  • Oversee and continuously improve

administrative processes to support efficient office and project

operations.

  • Manage complex calendars, meetings, and

schedules for senior stakeholders and project teams.

  • Maintain structured, well-governed filing

systems and ensure data accuracy and accessibility.

  • Coordinate travel logistics and

operational arrangements for consultants, clients and partners.

  • Serve as a point of escalation for

administrative and operational issues, resolving them proactively.

Project Operations & Coordination

  • Act as the operational focal point for

all solutions.

  • Coordinate project timelines, milestones,

deliverables, and dependencies across internal teams.

  • Support PMs in developing, maintaining

and monitoring project trackers, plans and dashboards to support

decision-making.

  • Proactively follow up on task execution,

approvals, and deliverables, escalating risks when needed.

  • Coordinate vendor documentation, and

operational approvals in compliance with internal policies.

  • Support PMs in ensuring proper project

setup, documentation, and closure, including archiving and knowledge

management.

  • Track project progress, risks, and

operational bottlenecks, proposing mitigation actions.

  • Conduct operational research and analysis

to support planning and leadership decisions.

  • Contribute to the standardization and

improvement of project operations tools, templates, and workflows.

Qualifications & Skills

  • Bachelor’s degree in Business

Administration, Management, or a related field.

  • 2–4 years of experience in administrative

coordination, operations, or project support roles.

  • Strong proficiency in Adobe, Microsoft

Office, particularly Excel, PowerPoint, and reporting tools – Trello

and Odoo is a plus.

  • Tech savviness
  • Excellent command of English and Arabic,

both written and verbal.

  • Demonstrated ability to manage multiple

projects and priorities with minimal supervision.

  • High attention to detail, accuracy, and

process discipline.

  • Strong stakeholder management and

communication skills.

  • Ability to anticipate needs, identify

risks, and propose solutions proactively.
